Privacy Policy

Your data stays yours.

This policy explains what information Virgo handles, why, where it lives, and how to get it removed.

Last updated October 20, 2026

The short version. Each company gets its own hub with its own database. We use your data only to run your hub for you. We never sell it, and we never pool it with other companies' data.

Connections to outside tools (Facebook, Instagram, Google, QuickBooks, and others) are yours to grant and yours to revoke, and the access tokens stay inside your hub.

Who we are

Virgo Systems LLC ("Virgo", "we") builds and hosts private company hubs for small businesses, and operates the public website at virgo.biz. For anything in this policy, write to hello@virgo.biz.

What we collect

Account and contact information

Names, work email addresses, phone numbers, company name and address, and the roles people hold in a hub. We collect this when a company signs up, invites staff, or writes to us.

Company information you add to your hub

Whatever your company puts into its hub: contacts, notes, documents, tasks, schedules, brand assets, and the answers you give during onboarding.

Information from connected services

When you connect an outside service to your hub, we receive the data that service allows for the permissions you approved. Depending on the service this can include:

  • Meta (Facebook and Instagram): the Pages, Instagram professional accounts, and ad accounts you choose, their posts and comments, audience and performance insights, and ad spend and results. If you approve publishing, we also store the posts your hub drafts and publishes on your behalf.
  • Google: Google Ads account data and performance, and Google Business Profile listings and reviews.
  • Accounting and payments: invoices, bills, balances, and transactions from services such as QuickBooks, Xero, Square, or Plaid.
  • Marketing and CRM: lists, campaigns, and contacts from services such as Mailchimp or HubSpot.

Access tokens for connected services are stored encrypted inside your company's own hub. They are never copied to Virgo's central systems and never shared with another company.

Payment information

Virgo bills through Stripe. Stripe holds card and bank details; Virgo stores only the billing contact, invoice history, and a reference to the saved payment method.

Technical information

Sign-in events, IP addresses, browser type, and server logs needed to keep hubs secure and working. Our websites do not use advertising trackers.

How we use it

  • To run your hub: showing your information back to you, running the automations and assistants you turn on, and publishing or replying only where you have approved it.
  • To operate connected services on your instructions, for example pulling insights from a Facebook Page or posting content your team approved.
  • To bill you, send service emails (sign-in links, invoices, onboarding steps), and respond when you contact us.
  • To keep the service secure, prevent abuse, and meet legal obligations.

We do not sell personal information, do not use your data to advertise to you, and do not use one company's data to serve another.

AI features

Hubs use AI models to draft content, summarize information, and answer questions. When a feature runs, the relevant data is sent to the model provider under terms that prohibit training on it. Drafts are shown to your team for approval before anything is sent or published.

Who we share it with

Only service providers that help us run Virgo, each bound to use data solely for that purpose:

  • Hosting and databases (Railway, Supabase), with each company's hub in its own database.
  • Payments (Stripe) and transactional email (Resend).
  • AI model providers, as described above.
  • The connected services you choose, which receive the instructions and content you approve, under their own terms.

We may also disclose information when the law requires it, or to protect the rights and safety of Virgo, our customers, or others.

Agencies and the clients they serve

Some Virgo customers are agencies that manage marketing for their own clients. In that case the agency's hub holds the client's connected accounts, and the agency decides what is published. Virgo processes that data on the agency's instructions. Clients should direct requests about their data to their agency, and may also write to us.

Where it lives and how long

Data is stored in the United States. We keep your company's data for as long as your hub is active. When a hub is closed, its database is deleted within 30 days, except for billing records we must keep for tax and accounting purposes. You can also delete specific data at any time from inside your hub, or by asking us. See Data deletion.

Your choices

  • Disconnect any service from your hub at any time. Disconnecting revokes Virgo's access and deletes the stored token.
  • Revoke from the provider's side. For Meta, go to Facebook Settings → Business Integrations and remove Virgo Hub. For Google, use your Google Account → Security → Third-party access.
  • Access, correct, export, or delete your information by writing to hello@virgo.biz. We respond within 30 days and will verify the request came from an authorized person at your company.

Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act or the GDPR. We honor those requests through the same address.

Security

Hubs are isolated per company, data is encrypted in transit and at rest, access tokens are encrypted, and staff access is limited and logged. No system is perfectly secure; if we learn of a breach affecting your data we will tell you promptly.

Children

Virgo is a business service and is not directed to anyone under 16. We do not knowingly collect information from children.

Changes

If we change this policy in a meaningful way, we will post the new version here with a new date and tell active customers by email.
